Booking Policy

Welcome to SideQuest World Tours, operated by Brenden Daynell Hooks ("Company", "we", "us", or "our"). These Booking Conditions are applicable to all SideQuest World Tours departing on or after August 18, 2026. While SideQuest World Tours is responsible for designing and coordinating all aspects of your tour, we partner with Outside Agents, a host agency that supports us with booking and administrative services. This collaboration ensures a seamless and immersive travel experience from start to finish. As such, these terms and conditions govern the provision of all our tours, events, and services provided by us and facilitated by our partnership with Outside Agents, referred to hereafter collectively as "Services."
1. $20 TEMPORARY HOLD
Available trip spaces may be temporarily reserved with a $20 Hold Payment per traveler.
Each $20 Hold Payment:
-
Holds one traveler space for 30 calendar days;
-
Locks the current advertised base trip price for that traveler during the Hold Period; and
-
Is credited toward the Trip Deposit if the reservation is confirmed.
A Hold Payment is not a confirmed booking.
If multiple travelers intend to book together, each traveler must have a $20 Hold Payment associated with the reservation.
For example, two travelers require $40 in Hold Payments and three travelers require $60.
If the full Trip Deposit is not received before the 30-day Hold Period expires, SideQuest World Tours may release the held spaces for sale to other travelers.
After any applicable cancellation period has expired, expired Hold Payments are non-refundable and cannot be transferred to another trip unless SideQuest World Tours agrees otherwise in writing.
2. GROUP BOOKINGS
Travelers purchasing together as a couple, trio, family, friend group, or other party are considered one booking with one total purchase price and one outstanding balance.
Members of the booking party may divide the cost among themselves however they choose.
Payments may be made:

Together;
-
Separately by different travelers on the reservation; or
-
By another authorized person paying on behalf of the booking party.
Regardless of who makes a payment, all payments are applied toward the single balance owed on the reservation.
SideQuest World Tours is not responsible for determining, collecting, or enforcing how members of a booking party divide the cost among themselves.
3. TRIP DEPOSIT
A temporary reservation becomes a Confirmed Booking when SideQuest World Tours receives a Trip Deposit equal to:
10% of the total price of the reservation.
Any $20 Hold Payments previously made for travelers on the reservation will be credited toward the required Trip Deposit.
For example:
If a group reservation costs $4,000, the Trip Deposit is $400.
If three travelers on that reservation have already paid $20 each to hold their spaces, the $60 already paid will be credited toward the $400 deposit, leaving $340 required to confirm the reservation.
Once the full Trip Deposit has been received, the reservation is confirmed and the remaining balance becomes subject to the payment schedule.
4. INITIAL CANCELLATION PERIOD
A purchaser may cancel a reservation without penalty through midnight of the third business day following receipt of the applicable booking disclosures and terms.
If the reservation is cancelled during this period, payments subject to that cancellation will be refunded as required by applicable law.
After this cancellation period expires, the Hold Payment and Trip Deposit become subject to the cancellation terms below.
Nothing in this Booking Policy limits any cancellation or refund rights that cannot legally be waived.
5. NON-REFUNDABLE DEPOSIT
After the Initial Cancellation Period expires, the 10% Trip Deposit is non-refundable if the traveler or booking party chooses to cancel.
The Trip Deposit compensates SideQuest World Tours for reserving limited trip capacity and for the administrative, planning, and operational commitments associated with maintaining the reservation.
The Trip Deposit will not also be counted a second time as a Nonrecoverable Trip Cost when determining any additional refund owed.
6. MONTHLY PAYMENT PLAN
After the Trip Deposit has been paid, the remaining balance will be divided into interest-free monthly installments.
The specific payment schedule provided for each reservation will identify:

Total reservation price;
-
Amount already paid;
-
Remaining balance;
-
Monthly payment amount;
-
Payment due dates; and
-
Final Payment Deadline.
Members of a group reservation may make payments separately, but all payments reduce the same total reservation balance.
There is no additional interest or financing charge for using the standard SideQuest World Tours monthly payment plan.
7. LATE PAYMENTS
Each scheduled payment receives a 7-calendar-day grace period after its stated due date.
If a required payment has not been received by the end of the grace period, SideQuest World Tours may notify the booking party that the reservation is past due.
If the overdue balance remains unpaid, SideQuest World Tours may cancel the reservation and release the reserved spaces.
Any refund resulting from such a cancellation will be calculated under the cancellation rules that would have applied if the booking party voluntarily cancelled on that date.
SideQuest World Tours may approve alternative payment arrangements in writing at its discretion.
8. FINAL PAYMENT DEADLINE
The entire reservation balance must be paid no later than:
30 calendar days before the scheduled first day of the trip.
A reservation that is not paid in full by the Final Payment Deadline may be cancelled and the reserved spaces released.
Any amounts retained or refunded following such cancellation will be determined under this Booking Policy.
9. TRAVELER CANCELLATION MORE THAN 30 DAYS BEFORE DEPARTURE
If a traveler or booking party cancels after the Initial Cancellation Period but more than 30 calendar days before the trip begins:
The Trip Deposit remains non-refundable.
Payments made in excess of the Trip Deposit may be refunded except for amounts already applied to Nonrecoverable Trip Costs associated with the reservation.
Nonrecoverable Trip Costs
Nonrecoverable Trip Costs are actual trip-related expenses that SideQuest World Tours has already paid or irrevocably committed in good faith and that cannot reasonably be:

Refunded;
-
Cancelled;
-
Recovered;
-
Transferred;
-
Credited; or
-
Avoided following the cancellation.
These may include costs associated with:
-
Accommodations;
-
Tours and activities;
-
Attraction or event admission;
-
Local guides;
-
Transportation;
-
Transfers;
-
Reservations;
-
Permits;
-
Supplier cancellation charges; and
-
Other direct costs required to provide the purchased trip.
If a cost benefits the entire group, SideQuest World Tours may allocate a reasonable proportional share of that cost to the cancelled reservation.
General SideQuest World Tours business expenses unrelated to providing the specific trip will not be treated as Nonrecoverable Trip Costs.
SideQuest World Tours will not retain the same financial loss twice by deducting an expense that has already been covered by the retained Trip Deposit.
10. TRAVELER CANCELLATION WITHIN 30 DAYS OF DEPARTURE
Beginning 30 calendar days before the scheduled start of the trip, payments made toward the reservation become non-refundable if the traveler or booking party:

Cancels;
-
Chooses not to attend;
-
Fails to appear;
-
Arrives too late to participate;
-
Voluntarily leaves the trip; or
-
Otherwise becomes unable to participate.
This provision does not eliminate any refund right that applicable law does not permit a traveler to waive.
This provision also does not apply when SideQuest World Tours cancels the entire trip.
Travelers are strongly encouraged to purchase travel insurance covering circumstances that may prevent them from participating.
11. ONE MEMBER LEAVING A GROUP BOOKING
Because travelers booking together purchase one reservation, the cancellation or withdrawal of one traveler does not automatically reduce the total balance owed under that reservation.
For example, if three travelers purchase a reservation at a price based on three-person occupancy and one traveler later withdraws, the remaining travelers do not automatically receive the three-person rate for only two travelers.
The booking party may request:

A replacement traveler;
-
A different available occupancy arrangement; or
-
Another modification to the reservation.
Any substitution or modification is subject to:
-
SideQuest World Tours approval;
-
Available capacity;
-
Supplier restrictions;
-
Applicable deadlines; and
-
Any direct costs created by the change.
A reservation modification is not effective until approved by SideQuest World Tours.
12. TRAVELER SUBSTITUTIONS
When reasonably possible, SideQuest World Tours may allow a booking party to replace a traveler who can no longer participate with another eligible traveler.
A substitution does not constitute a new booking unless SideQuest World Tours determines otherwise.
The booking party is responsible for any additional costs caused by the substitution, including supplier change fees or costs associated with reservations that cannot be transferred.
Certain tickets, reservations, permits, or services may be issued to a specific traveler and may not be transferable.
13. CANCELLATION BY SIDEQUEST WORLD TOURS
A. Cancellation Within SideQuest World Tours' Reasonable Control
If SideQuest World Tours cancels an entire trip because of circumstances within its reasonable control and cannot provide the purchased trip, affected travelers will receive a refund of all amounts paid to SideQuest World Tours for that cancelled trip.
Refundable amounts will ordinarily be returned to the original payment method or methods.
SideQuest World Tours may offer travelers the option of transferring their payments to another trip or accepting travel credit, but travelers will not be required to accept travel credit instead of a cash refund where a cash refund is required by this Policy or applicable law.
B. Cancellation Due to Circumstances Outside SideQuest World Tours' Reasonable Control
A trip may become impossible, unlawful, unsafe, or impracticable to operate because of circumstances outside the reasonable control of SideQuest World Tours.
Examples may include:

Natural disasters;
-
Severe weather;
-
War or armed conflict;
-
Terrorism or credible security threats;
-
Civil unrest;
-
Government restrictions;
-
Border closures;
-
Public-health emergencies;
-
Major transportation disruptions;
-
Strikes;
-
Cancellation or failure of an essential third-party supplier; or
-
Similar events that SideQuest World Tours could not reasonably prevent.
In these circumstances, SideQuest World Tours will make reasonable efforts to recover money, credits, or other value from affected suppliers.
Money actually recovered and attributable to the cancelled reservation will be refunded to the traveler.
If a supplier provides SideQuest World Tours with a usable credit rather than a cash refund, the corresponding value may be provided to the affected traveler as a SideQuest World Tours travel credit, subject to applicable supplier restrictions.
Any amounts that are genuinely non-refundable and cannot be recovered from third-party suppliers will be handled according to applicable law and the specific circumstances of the cancellation.
Nothing in this section allows SideQuest World Tours to replace a legally required cash refund with travel credit.
14. PRICE LOCK
A valid $20 Hold Payment locks the applicable advertised base trip price for that traveler for the 30-day Hold Period.
Once the full Trip Deposit is received and the reservation becomes confirmed, the confirmed base price remains locked for that reservation provided the booking remains in good standing.
Price protection does not apply to costs resulting from:

Traveler-requested upgrades;
-
Optional add-ons;
-
Changes in occupancy requested or caused by the booking party;
-
Traveler substitutions;
-
Traveler-requested itinerary modifications;
-
Newly imposed taxes, government charges, or assessments where legally permitted;
-
Airfare unless expressly included in the trip price; or
-
Services expressly identified as excluded from the base trip price.
15. REFUNDS AND ORIGINAL PAYMENT METHODS
When a refund is due, SideQuest World Tours will ordinarily return the refundable amount to the original payment method or payment methods used to make the applicable payments.
For a group booking, this means that payments made by different travelers may be refunded separately to the cards or payment methods originally used.
The person who organized the reservation is not automatically entitled to receive money originally paid by another member of the booking party.
SideQuest World Tours is not responsible for resolving private financial disputes among members of a booking party.
Processing times imposed by banks, card issuers, or payment processors are outside the control of SideQuest World Tours.
16. TRIP-SPECIFIC TERMS
This Booking Policy is intended to apply across SideQuest World Tours trips.
Each reservation will also contain trip-specific information, which may include:

Trip destination;
-
Travel dates;
-
Reservation price;
-
Number of travelers;
-
Occupancy arrangement;
-
Included accommodations;
-
Included activities;
-
Included transportation;
-
Included meals or beverages;
-
Optional add-ons;
-
Exclusions;
-
Payment schedule; and
-
Any supplier-specific restrictions relevant to that trip.
If a particular trip requires a material exception to this general Booking Policy, that exception must be disclosed to the purchaser in writing.
17. ACCEPTANCE OF BOOKING TERMS
By making a Hold Payment, Trip Deposit, installment payment, or other payment toward a reservation, the payer acknowledges receipt of and agreement to the applicable booking terms, subject to any additional signatures or acknowledgments required by SideQuest World Tours.
Every traveler participating in a SideQuest World Tours trip may also be required to separately accept a Traveler Agreement, liability and risk disclosures, emergency-information requirements, conduct rules, releases, or other documentation applicable to participation.
18. APPLICABLE LAW
This Booking Policy is subject to applicable federal, state, and local law.
Nothing contained in this Policy is intended to waive a consumer right that cannot legally be waived.
If any provision is determined to be invalid or unenforceable, the remaining provisions will continue to apply to the greatest extent permitted by law.

This document governs reservations, holds, deposits, payment schedules, cancellations, and refunds. It does not replace the separate SideQuest World Tours Traveler Agreement or the trip-specific booking information provided for each reservation.
